Privacy Policy
Operated by Scoped LLC, a Pennsylvania limited liability company
Effective Date: July 7, 2026 | Last Updated: July 14, 2026
1. Scope of This Policy
This Privacy Policy explains how Scoped LLC, doing business as "Scoped.Pro" ("Scoped.Pro," "we," "us"), collects, uses, shares, and protects information in connection with the Scoped.Pro website, mobile applications, and related services (the "Service"). This Policy applies to:
- Homeowners who submit projects and receive quotes;
- Pros (contractors and their team members) who register to receive and bid on leads;
- Prospective Pros — businesses we've identified through public sources (such as Google Business listings) who have not yet registered, as described in Section 9; and
- Visitors to our website.
This Policy is incorporated by reference into our Terms of Service and, for Pros, our Contractor/Pro Platform Agreement. If you do not agree with this Policy, do not use the Service.
2. Information We Collect
a. Information you provide directly
- Account information: name, email address, phone number, password/authentication credentials (via our authentication provider), and, for Pros, business name, license numbers, insurance details, service area, and trade categories.
- Project content: descriptions, photos, and video you upload when submitting a project, along with any conversational messages exchanged with our AI intake assistant or scope-refinement chat.
- Site-visit content: photos, video, and audio captured during a site visit, along with any annotations, captions, or notes added by a Pro or their team, and embedded file metadata such as timestamp and GPS coordinates when present in the file.
- Contractor profile content: bio, years of experience, licenses, insurance documents, portfolio items, and customer reviews.
- Messages: content of messages you send to other Users through the Platform's messaging feature.
- Location information: a project address or general location you provide, and, for Pros, a business address or service radius, which we may convert to map coordinates (geocode) to enable distance-based matching.
- Payment-adjacent business information, if applicable: fees you pay Scoped.Pro for platform access (lead fees/subscriptions) are processed by our payment processor, [Processor Name]; we do not store full payment card numbers. We do not process, store, or have access to any payment made by a Homeowner directly to a Pro for project work, since that payment happens off-platform (see our Terms of Service).
b. Information collected automatically
- Device and usage data: IP address, browser/device type, pages viewed, and similar diagnostic and analytics information.
- Cookies and similar technologies: used for authentication/session management (including a short-lived session cookie used during AI intake conversations before you create an account) and basic analytics. See Section 8.
c. Information from other sources
- Public business information: for prospective Pros, information such as business name, address, phone number, and public ratings that we source from publicly available listings (e.g., Google Business Profile / Google Places) before that business registers, as described in Section 9.
- Calendar information: if a Pro chooses to connect a Google Calendar account for scheduling, we receive the access necessary to create, read, and manage calendar events related to Platform bookings, as authorized through Google's consent screen.
3. How We Use Information
- To operate the Service: create and manage accounts, process project submissions, match Homeowners with Pros, and facilitate quotes, messaging, scheduling, and site visits.
- To generate AI-assisted output: analyze submitted video, photos, and text to produce a proposed project scope, cost estimate, and related suggestions, and to power conversational intake and scope-refinement chat, as described in Section 4.
- To discover and notify Pros: identify and rank contractors (registered or not yet registered) who may be a good match for a project, and to invite prospective Pros to claim a profile, as described in Section 9.
- To communicate with you: service notifications, project updates, lead alerts, appointment confirmations and calendar invites, and — where you've consented or as permitted by law — marketing messages.
- For safety, fraud prevention, and legal compliance: verifying license/insurance information, investigating misuse, and complying with legal obligations.
- To improve the Service: understanding usage patterns and, in de-identified or aggregate form, improving our matching and AI models.
4. AI Processing of Your Content
Video, photos, audio, and text you submit for project scoping or site visits are sent to third-party AI providers — currently Google's Gemini API — for analysis. This processing generates the scope items, cost estimates, and flagged concerns shown on the Platform, and powers our conversational intake and scope-chat features. [Confirm and disclose current data-handling terms with the AI provider — e.g., whether submitted content is used to train the provider's general-purpose models, and for how long it is retained by the provider — since API terms differ from consumer-product terms and can change.]
As explained in our Terms of Service, AI-generated output is an informational estimate, not a professional inspection, and should be independently verified.
5. How We Share Information
- Between Users: a Homeowner's project details (excluding street address, which remains private until: (a) the Homeowner approves a site-visit request from that Pro, or (b) the Homeowner accepts that Pro's quote — each unlock is scoped to that Pro and that project only) are shared with Pros evaluating or bidding on that project. A Pro's profile, licensing status, insurance status, ratings, and portfolio are shared with Homeowners evaluating that Pro.
- Service providers (subprocessors): we share information with vendors who help us operate the Service, including: Clerk (authentication), Google (Gemini AI processing, Places business data, Calendar integration where connected, and cloud/Firebase storage of media), Twilio (SMS delivery), our email delivery provider, and our hosting/database providers. These vendors are contractually restricted to using information only to provide services to us.
- Legal and safety reasons: to comply with law, respond to legal process, or protect the rights, property, or safety of Scoped.Pro, our Users, or the public.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.
6. Text Messages, Calls, and Email
If you provide a phone number or email address, we may send you service-related messages (account, project, and lead notifications) and, where permitted, marketing messages. Message and data rates may apply. You can opt out of non-essential text messages by replying STOP, and out of marketing email by using the unsubscribe link; you cannot opt out of essential transactional/service messages while maintaining an active account.
Mobile Information Sharing
We do not sell or share your mobile phone number or SMS opt-in consent with third parties for their own marketing or promotional purposes. Text messaging originator opt-in data and consent is not shared with any third party for marketing or promotional purposes. Your mobile information is used only as described in this Policy — including to deliver messages through our SMS delivery vendor and the other service providers described in Section 5, which are contractually restricted to using it only to provide services to us.
If you opt in to receive text messages from Scoped.Pro, your phone number is used only to send the service-related messages described in this Section — project notifications, lead alerts, and updates related to contractor matching. You can opt out of these messages at any time by replying STOP.
See Section 9 for outreach to prospective Pros who are not yet registered Users.
7. Location and Media Metadata
Project and business addresses you provide may be converted to map coordinates to support distance-based matching. Photos and videos captured through the site-visit tools may include embedded metadata (such as GPS coordinates and timestamp) when your device provides it; this metadata may be stored alongside the media and shared with the Homeowner and Pro associated with that project.
8. Cookies and Similar Technologies
We use a small number of cookies necessary for the Service to function, including authentication/session cookies (via our authentication provider) and a short-lived cookie used to maintain your AI intake conversation before you create an account. We may also use basic analytics cookies to understand aggregate usage. [Add cookie table and consent banner details if operating in jurisdictions requiring it, e.g., if you have EU/UK/California users beyond CCPA's default cookie treatment.]
9. Prospective Pros: Public Business Information and Outreach
Before a contracting business registers on Scoped.Pro, we may create a preliminary, unclaimed profile for it using publicly available information (such as business name, address, phone number, trade category, and public star rating/review count sourced from services like Google Places), for the purpose of identifying contractors who may be a good match for Homeowner projects in their area and trade.
- We may contact such a business by phone, SMS, or email to invite it to view a specific project lead or to claim and complete its profile. [Confirm with counsel the consent basis relied on for this outreach (e.g., an established business relationship exception, or express consent) and ensure opt-out instructions are included in every message, consistent with the TCPA and CAN-SPAM.]
- A business may opt out of further outreach at any time using the instructions in the message, or by contacting us at rkennbiz@gmail.com, and we will suppress future contact to that number/address.
- An unclaimed profile is not an endorsement by Scoped.Pro and does not mean the business has agreed to our Terms of Service or this Policy; those apply once the business registers or claims its profile.
10. Your Choices and Rights
- Access and correction: you can review and update most account and profile information directly in the app, or by contacting us.
- Deletion: you may request deletion of your account and associated personal information, subject to information we are required or permitted to retain (e.g., for legal, safety, or dispute-resolution purposes, or content already shared with another User as part of a completed transaction).
- Marketing preferences: you may opt out of marketing email and non-essential SMS as described in Section 6.
11. Data Retention
We retain personal information for as long as your account is active and as needed to provide the Service, and for a reasonable period afterward to comply with legal obligations, resolve disputes, enforce our agreements, and maintain business records. Site-visit media, quotes, and project scopes associated with a completed project may be retained by the respective Homeowner and Pro accounts involved even after one party deletes their own account, to preserve an accurate record of that transaction. [Set specific retention periods with counsel, including for AI-conversation transcripts and expired intake sessions.]
12. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, or disclosure, including encryption in transit, access controls, and restricted internal access to sensitive fields such as a Homeowner's street address (which is limited to the Homeowner and any Pro who has been granted site-visit access or whose quote has been accepted for that project). No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
13. Children's Privacy
The Service is not directed to children under 13 (or under 16 where applicable state law requires), and we do not knowingly collect personal information from them. If we learn we have collected such information, we will delete it.
14. Third-Party Links and Services
The Service may link to or integrate with third-party services (such as Google Calendar or Google Maps). Those services' own privacy policies govern their handling of your information, and we encourage you to review them.
15. U.S.-Based Service
The Service is currently offered to Users located in the United States, and information is stored and processed in the United States (and by our subprocessors, which may process data in other countries in accordance with their own terms). [Update this section if the Platform expands outside the U.S.]
16. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will provide notice (such as an in-app notice or email) before the changes take effect. The "Last Updated" date above reflects the most recent revision.
